Microsoft Excel is a spreadsheet program that can be used to process simple computations as well as advanced functions. Most people can use Excel for basic calculations like:
  • Sum - adds the numbers in the cells in a selected range
  • Average - finds the average of the numbers in cells in a selected range
  • Count - counts the number of cells in a selected range with numbers in them
  • Countif - counts the number of cells in a selected range that meet the criteria you set
There are hundreds of formulas in Excel, but creating simple functions to start with does not take long and is fairly simple. To show how versatile some simple formulas are, consider how they can be used to track:
  • Attendance and absences for a group
  • Average spending or income
  • Supplies for a business or event
  • Inventory for insurance or a business
These are a few examples of how Excel formulas can be useful by automatically processing repetitive calculations.

When working with larger files there can be a need to modify the order of pages, add signatures, or scan and add in additional documents for reference. During this process, you may run into issues like:
  • Multiple file uploads not being allowed.
  • A long document that requires a signature or signatures on only a few pages. In this case, printing the entire document and scanning it all back in together can be wasteful. 
  • Scanning a document that is larger than the automatic document feeder of the scanner and breaks the files into multiple files.
An example most of us have run into is needing to sign a large document and send it back to someone else. You can print and mail the document, but it is far faster to email or fax it back. The best answer is to use Acrobat to print only the signature page, merge this single page into the original document and replace the blank signature page. Then the file can be emailed or faxed and the process does not have any waste.

Increasing efficiency often feels like a goal that is difficult to obtain. How can we measure efficiency to verify there has been an increase ? How can we consistently increase it without wearing ourselves down? Luckily there are settings in Windows that can be set to best meet our specific needs. For example, modifying the links in the Quick access section in File Explorer can be accomplished within minutes and greatly increase efficiency. 

The Quick access section in File Explorer houses links that reference files, folders, shared drives, or Windows locations like the Desktop or Downloads folders. Quick access links appear in the top left section of every File Explorer window which makes it a great place to link frequently used files and folders. Typically, the longer you have a computer the deeper folders get created. Folders are often organized by year or topic with sub-folders created inside. Creating links in the Quick access section to commonly used, but deep sub-folders, can be a huge time saver.

  • Open File Explorer.
  • Right-click on the link to remove.

Bypassing the Recycle Bin, A Better Way to Delete Files

There are plenty of instances when the recycle bin on a device saves an important file and makes your day. Sometimes a file is deleted, whether intentionally or accidentally, and when we realize we still need it, we are relieved to find it still available to us. There are also situations when we are positive we will never need a file again. Some examples  are: 
  • The file was downloaded as a reference that it is no longer needed
  • The wrong file was downloaded
  • A new version of the file has been created with a new name
  • A new version of the file has been created and the old one is no longer appropriate to use (for instance annual government forms)

Ensuring all Important Files get Moved to a New Device

Replacing an older computer or laptop with a new one is an exciting process! With new features, faster response times, upgraded programs and applications, there is so much potential. The only drawback can be configuring the new device to feel like your old one and ensuring all of your important files are successfully transferred. Program files are often stored in places other than you might think of or expect. Files outside of the Documents folder can be more difficult to locate.

Below are examples of programs commonly storing files outside the Documents folder as well as where they are likely to be.


Ensuring all Important Files get Moved to a New Device

Copying an entire user folder can be time consuming, can waste storage and often includes far more data than you need. NOTE: Different operating systems and versions of applications can store files differently. These examples list where files are typically stored, but your results may vary.

QuickBooks
QuickBooks typically stores company database files in the Public folder, rather than a user folder. The Public folder is located inside the main Users folder on the local drive. This is a generic location that lives outside of any specific user's folder.

What to Do When Documents or Email Go Missing

If you have ever had a document or email go missing, you know the moment can feel paralyzing. Realizing files are missing can cause a moment of panic which makes it easy to forget some of the ways the files might be able to be recovered. However, whether it is a document or an email that appears to be missing, there are steps you can take to try and recover the lost information.
